Belgian VAT Returns for Contractors: A Practical Workflow

Prepare monthly or quarterly Belgian VAT returns by reconciling sales, purchases, corrections, reverse charge and structured invoices in Intervat.

A periodic VAT return reports taxable sales, VAT due, purchases and deductible VAT for the period. The practical work is not entering boxes at the end: it is keeping invoices, credit notes and exceptions current enough that the return can be reconciled and explained.

Confirm monthly or quarterly filing

Monthly filing is the general rule. Businesses that meet the conditions can opt for quarterly returns, while certain transaction patterns can remove that option. Confirm the current regime on the FPS Finance periodic-return page and with the accountant.

File through Intervat unless an authorised exception applies.

Close sales for the period

Review issued invoices, progress invoices, advances and credit notes. Check number sequences, dates, tax treatment and whether corrections point to the original document. Reconcile totals per VAT treatment to the sales ledger.

For in-scope Belgian B2B invoices, retain the structured original and delivery trail. A PDF view alone is not the structured invoice.

Close purchases and expenses

Collect supplier invoices and valid expense documents. Confirm supplier details, business purpose, VAT treatment and duplicate status. Separate mixed-use, private, foreign or unclear expenses for review rather than claiming input VAT automatically.

Reconcile supplier payments, but remember that a bank transaction alone is not an invoice.

Review construction exceptions

Create an exception list for reduced rates, reverse charge, mixed-use property, demolition and reconstruction, fossil-fuel heating components, cross-border work and adjustments from earlier periods. Let the accountant map those cases to the correct return treatment.

Do not copy box numbers from a generic example without checking the transaction and current form.

Reconcile before filing

Compare the return totals with the sales and purchase ledgers, VAT control accounts and previous corrections. Explain differences and preserve the reconciliation file. A reviewer should be able to move from a return total to its source documents.

Use the live deadline calendar

FPS Finance publishes the 2026 VAT calendar. Monthly and quarterly dates differ and can move for weekends or holidays. Schedule internal preparation and approval before the legal filing and payment date.

Archive the complete trail

Keep the filed return, submission confirmation, payment evidence, reconciliation, invoices, credit notes and supporting records. FPS Finance states a ten-year retention period for invoices and VAT accounting documents.

Test whether records can be retrieved after a staff or software change. Exported files with no explanation of their source are not a reliable archive.

Improve the next close

After filing, record missing documents, late project updates, recurring tax questions and manual corrections. Assign each cause to an owner. A faster return process comes from better source data throughout the period, not from rushing the final Intervat session.
