Stop a Belgian subcontractor start when insurance evidence has expired

Use an explicit pre-start gate when subcontractor insurance evidence is expired, unclear or unrelated to the planned site work.

An expired insurance document is a reason to stop and clarify, not proof that every form of cover has ended. Before a subcontractor starts, connect the company, document, dates shown, planned activity and reviewer. Keep the planning hold visible until an authorised person resolves it.

Review the document without inventing coverage

Identify the issuing party, policyholder, document date, period stated and activity or scope described. Do not infer cover from a filename, payment receipt or last year's certificate. If the scope is unclear, ask the subcontractor or competent insurance adviser.

Link the review to the planned work

Record the site, task and planned start. A document that covers office activity may not answer a question about specialist site work. Conversely, a general planning warning should not be presented as a formal insurance decision.

Assign the review to someone with authority to release the hold. Site teams need a simple visible status, while the underlying document and reasoning remain available to the office.

Keep other access controls separate

Use separate statuses for separate controls. This prevents one green document from being treated as approval of the complete subcontractor dossier.

Resolve the exception and preserve the trail

When a replacement document arrives, preserve the old version, review the new one and record who released the hold. Do not backdate approval. If work started before resolution, record the facts and escalate according to company policy rather than rewriting the history.

Make the gate visible without sharing the whole document

The planner usually needs a status, reviewer and next review point rather than unrestricted access to the insurance file. This keeps the gate useful while reducing unnecessary exposure of commercial and personal information.
