Construction quote software in Belgium: how to compare products

Compare quote software by estimating, price libraries, bills of quantities, approval, scheduling, variations, invoicing and job margin.

For a contractor, a quote is not an isolated sales document. It contains the assumptions that drive scheduling, materials, subcontracting, deposits, variations and final margin. Good quote software therefore does more than produce a document quickly; it lets an accepted price flow into the project and invoice without retyping.

The right choice depends on estimating depth, project type and the people who maintain prices and items. This guide provides a practical comparison framework, reviewed on 18 July 2026.

Map the current quoting process

Take ten recent enquiries and record the system used at every step:

  1. enquiry and site visit;
  2. quantities and bill of quantities;
  3. material, labour, equipment and subcontractor cost;
  4. margin, risk and overhead;
  5. internal review and customer version;
  6. delivery, follow-up and approval;
  7. transfer to scheduling, project and invoicing.

Mark each duplicate entry and each piece of knowledge that exists only in one estimator's head. The new product must show how it improves those points.

Do not select from screenshots. Ask every vendor to build and then modify the same real quote.

Estimating must reflect reality

Test items composed of labour, materials, equipment, subcontracting and fixed or percentage costs. Check waste, pack quantities, discounts and different sales margins. Ask how your libraries and supplier prices can be imported and who reviews updates.

For bills of quantities, chapters, items, quantities and units need to import without chaos. Present an architect's file containing empty, duplicate and unusual rows. Error handling is often more important than a perfect prepared import.

The customer version must remain professional without exposing internal cost or margin. Test summaries, alternatives, options, exclusions and attachments.

Approval is more than a signature

Digital approval must retain the accepted version, time, terms and attachments. Ask what happens if the customer adds an option or changes a quantity after sending. The system should preserve a new version or explicit change.

An accepted quote should become a project without copy and paste. Items, budgets, planned labour and documents should follow. Also test a lost quote: can the product show proposals without a response and prepare appropriate follow-up?

From quote to schedule and site

An estimate is only useful when delivery can use it. Check whether a project manager can see budgeted labour, materials and subcontractors by phase. Ask what information reaches the crew and how changes during construction are recorded.

Test one variation from a phone: description, photograph, quantity, price, approval and invoicing. If the variation must be re-entered in the quote or invoice module, an important leak remains.

After completion, compare planned quantities and labour with actual records. Each finished job can then improve future quotes.

Design invoicing into the quote

Before approval, define deposits, stages, progress claims and final invoice. Check how discounts, changes and credit notes flow through. Since 1 January 2026, relevant Belgian B2B invoices need structured electronic exchange, so the process after quoting must work with Peppol.

Ask whether approved customer and project data flows automatically to the invoice and how the accounting integration handles VAT codes and accounts. Let the accountant check one test file.

A quote created quickly but rebuilt later only moves the administration elsewhere.

Measure quality, not only speed

During a two-week pilot, measure:

  • time from enquiry to first correct version;
  • correction rounds caused by price or quantity errors;
  • percentage of quotes followed up on time;
  • manual handovers after acceptance;
  • variations demonstrably present on the invoice;
  • difference between expected and actual margin.

Ask two people to work with the same library. This reveals whether the structure is transferable or only clear to the original estimator.

Compare cost and migration

Include subscription, users, estimating modules, electronic signature, price integrations, onboarding, import and support. Ask about additional estimators and read-only users. Confirm export of quotes, libraries and attachments if you leave later.

Migrate active customers, frequently used items and a few representative quotes first. Automatically importing a poor price library does not improve it. Assign someone to own the library after the move.

A practical decision

Choose a document tool for simple work with dependable external estimating. Choose a construction platform when quote, schedule, site and invoice need one flow. Choose a broad ERP when bills of quantities, purchasing, inventory and approvals justify the additional setup.
