Choosing a model by benchmark alone misses the main construction risk: a voice note can contain worker details, client names, safety observations and commercial decisions. Start with the workflow and contract, then compare the provider settings that apply to the exact product and endpoint.

Separate product claims from configuration

OpenAI states that API data is not used to train models by default unless an organisation opts in, and documents default abuse-monitoring retention in its API data controls. Anthropic documents a standard retention approach for commercial API inputs and outputs, with contractual exceptions, in its commercial retention guidance. These policies differ by product and can change; verify the current agreement and settings rather than generalising from consumer chat products.

Design the voice record first

Define why audio is captured, who can listen, whether the original audio is needed after transcription, and how a correction is made. Minimise names and private absence reasons. Confirm the project, task, date and recipients before an output becomes a durable record.

Keep interpretation away from execution

A model can transcribe and structure a request. It should not decide alone to message a client, alter a schedule or create a financial record. Test the record with a real exception

Before adopting the workflow, use a case with a missing source, two similar records or an unavailable owner. Check that the process stops with a clear question instead of silently choosing. Ask someone who did not prepare the record to find the source, decision and next step.

State what must still be decided outside the software. An accountant, prevention adviser, site manager or public authority may remain the competent decision maker. The digital workflow should make that handoff visible and attach the answer to the correct project, customer, invoice or document.

Schedule another review when the scope, party, official guidance, contract or product setting changes. The record then supports controlled execution rather than promising that old evidence or configuration stays valid automatically.
