A digital coordination diary is useful only when later readers can trust the sequence of decisions. Belgian federal guidance for larger temporary or mobile construction sites allows technological means instead of numbered paper pages, provided data or notes cannot be removed. That requirement changes the software question: convenient editing is not enough; the system must preserve who recorded, corrected and acknowledged each entry.

Define the diary's scope

Document which site, coordination phase and parties the diary covers. Distinguish formal coordination entries from ordinary site notes, chat messages and daily reports. Give each entry an author, timestamp, subject, affected party and supporting attachments. A message copied from another tool should retain its source and original date.

Make corrections additive

Users will make mistakes, but correction should not erase history. Preserve the original entry, the corrected value, the reason, the author and the correction time. If access rights require hiding sensitive content from some viewers, retain the underlying audit record and document the restriction rather than deleting the event from the chain.

Record communication and response

A coordination instruction matters when the responsible party receives and addresses it. Capture recipients, delivery status, acknowledgement, deadline and closure evidence. Do not treat an email sent or a notification opened as proof that the technical issue was resolved. Link the response to the original entry.

Control access and export

Use organisation and project permissions so only authorised roles add or correct formal entries. Produce an export that preserves identifiers, timestamps, attachments and the correction chain. Test whether the record remains understandable outside the live application and whether a later administrator can silently remove a disputed note.

Run integrity tests

Create an entry, correct it, change a deadline, revoke a user's access and export the diary. The original and every change should remain traceable. Also test offline or delayed site input so the recorded event time and submission time are not confused. Obtain safety-coordination advice for the precise documentary obligations of the project.

Finally, make the workflow reviewable in daily operations. Assign an owner, record the official source and product version checked, and define when the decision must be reviewed again. A software flag is not legal advice, and an AI proposal is not approval. The authorised person must be able to see the customer, project, amounts, permissions and exceptions before confirming. Measure not only time saved but also ambiguous cases stopped safely. Update the instruction when regulation, contract terms, channels or product capabilities change. That discipline keeps the record useful to the site team, office, accountant and a later reviewer instead of turning today's configuration into an undocumented permanent rule.
