Check In and Out at Work or Checkinatwork for a mixed cleaning and construction contract?

A mixed Belgian contract can include construction work and cleaning at the same location, but the attendance rule follows the activity performed. Check In and Out at Work is used for covered cleaning activities and records start, end and rest breaks in real time. Checkinatwork is the presence system for covered work on immovable property. Treating the project as one undifferentiated site can therefore give the wrong instruction to part of the crew.

Classify the activity, not the job title

Start from the task performed during the shift. The official social-security FAQ gives a mixed-contract example: the main contractor's workers who only perform construction are not registered in Check In and Out at Work, while subcontractors performing covered cleaning record their activities and breaks there. Checkinatwork may still apply to the construction activity when its conditions are met.

Keep the two registrations distinct

Check In and Out at Work requires an in record when cleaning starts, an out record when it ends and records for rest breaks. The worker records their own presence in real time. Checkinatwork records presence before covered construction work starts for the day. A shared QR poster or project dashboard should make clear which service a person is using and why.

Build a responsibility matrix

List the contracting entity, subcontractor, person, activity, work location, declaration reference and required registration. Assign someone to confirm that subcontractors receive the correct instructions. Do not copy a cleaning registration into the construction register or vice versa merely to make totals match. Preserve corrections with their reason and supporting evidence.

Handle workers who change activity

If a person performs construction and covered cleaning on the same assignment, map the actual sequence and obtain advice for that scenario. The software should not infer the answer from payroll category alone. Record the planned activity before the shift and let the responsible person correct exceptions. The official service documentation, not an internal label such as “site worker”, owns the legal classification.

Test the site briefing

Ask a supervisor to explain the process for a builder, a cleaning subcontractor, a foreign worker and a worker who changes tasks. Each person should know the service, timing, QR code and correction route. If the briefing relies on one generic “check in” instruction, it is not precise enough for a mixed contract.

Finally, make the workflow reviewable in daily operations. Assign an owner, record the official source and product version checked, and define when the decision must be reviewed again. A software flag is not legal advice, and an AI proposal is not approval. The authorised person must be able to see the customer, project, amounts, permissions and exceptions before confirming. Measure not only time saved but also ambiguous cases stopped safely. Update the instruction when regulation, contract terms, channels or product capabilities change. That discipline keeps the record useful to the site team, office, accountant and a later reviewer instead of turning today's configuration into an undocumented permanent rule.
