Checkinatwork when a Belgian project crosses the EUR 500,000 threshold after work starts

Update the Declaration of Works value first

Existing Belgian Checkinatwork guidance ties the threshold to the declared works and the total relevant contracts for the same project or purpose. When variations, extra lots or new contracts push the amount to EUR 500,000 excluding VAT, update the source record and keep the calculation. Do not wait for the final invoice total. The declaring contractor should be able to show which contracts were included, the date the threshold was reached and who confirmed the project grouping.

Use the official communication date

The social-security FAQ says the declaring contractor must inform other parties and that the NSSO also supports notification. When the threshold is reached during performance, the parties have ten calendar days from the communication date to organise presence registration. Record the actual notice and recipients rather than inventing a new deadline from the contract change date. If notices conflict or arrive late, escalate the case; software should not silently reset the statutory window.

Turn notification into a site procedure

List every contractor and subcontractor still active, agree the registration channel and place the NSSO QR poster at the relevant workplace. Communicate the first required registration day and the proof each party should keep. Check existing workers, visitors and self-employed people against the scope. The declaring contractor remains responsible for organising the system, while intervening parties must register their workers once the site is subject to the obligation.
